A county court proactively updates its electronic shelving system.

Paper records are an important part of the judicial process, even in the digital age. For instance, staff at this county court system are required to keep two permanent records of every case: a digital scan and a physical version on microfilm.

It’s relatively quick and easy for staff to scan the paper files to create a digital record, but the microfilming process takes more time. Staff must store the records on paper until they can receive and archive the microfilms, and then they can dispose of the paper files.

To accommodate thousands of court files in the small space allotted for storage, a Spacesaver powered high-density mobile system was installed when the building was built in the early 2000s. The system has been in continual use ever since, with staff accessing it multiple times a day.

After nearly two decades of reliable operation, the system’s electronic components needed an update. The rest of the system was still working fine, but the electronics were becoming glitchy. The electronic components to repair the system were no longer available, so Spacesaver proactively offered an update kit. As a result, the nearby Spacesaver distributor was able to send a crew out to update the electronics with minimal disruption, and now the system is up and running again.

“It was a no brainer,” the clerk of courts said of the decision to update the electronics. “We don’t have a lot of room and our file volume is always increasing. It was imperative for us to have the system working so we could access the files and have enough space for them.”
